How can we help?

Import leads, deals, contacts and products

You can add leads, deals, contacts and products to NeetoCRM in bulk by uploading a CSV or Excel file. An import has three steps: upload the file, match its columns to fields in NeetoCRM, and review the data before you start the import.

Uploading your file

Your file can be a CSV, XLS or XLSX file of up to 1 MB. The first row of the file must contain the column names. If you're not sure how to set up the file, the upload page has a Download a sample CSV link that gives you a file with the column names NeetoCRM expects.

  1. Go to Admin panel > General > Imports.

  2. Click the tab for what you want to import: Lead, Deal, Contact or Product.

  3. Click Import leads. The button name follows the tab you picked, for example Import deals.

  4. Upload your file.

  5. Click Next: Map fields.

Matching columns to fields

The next page lists each column in your file, the field in NeetoCRM it will go into, and the value from the first row of your file so you can check the match. When a column name is close to a field name, NeetoCRM selects that field for you.

  1. For each column, choose the field it should go into.

  2. To leave a column out of the import, choose Ignore this field.

  3. If none of the fields fit, click Add field to create a custom field, then choose it for that column.

  4. Click Next: Review & import.

Every column needs a field, or Ignore this field, before you can continue. Each field can be used for only one column. If you choose an email field for a column, the value in the first row of that column must be a valid email address.

Besides Name and your custom fields, you can match columns to these fields:

  • Leads and deals: Company, Contact, Email, Phone and Expected close date

  • Contacts: Email, Phone, Address and Company

  • Products: Description, Active, Tax, Quantity in stock and Value

Reviewing and starting the import

The last page shows the first three rows of your file as they will be imported. This is also where you decide what happens to rows that match something already in NeetoCRM.

A row counts as a duplicate when NeetoCRM already has a lead, deal, contact or product of the same type with the same name. Differences in capital letters and extra spaces are ignored. You can also choose other fields that must match, such as Email. In that case, a row counts as a duplicate only when the name and those fields all match. If a row leaves one of those fields empty, that field isn't checked for that row.

  1. Check the preview. If something looks wrong, click Back and fix the matching.

  2. To check for duplicates using more than the name, choose fields under Also match other fields (optional).

  3. Under When a duplicate is found, choose what happens to duplicate rows:

    • Skip duplicates: the row isn't imported, and the one already in NeetoCRM isn't changed. This option is selected by default.

    • Merge duplicates: the values in your file replace the values in the same fields of the one already in NeetoCRM. Fields that aren't in your file stay as they are.

    • Create duplicates: the row is added as a new one, even though a match already exists.

  4. Click Start import.

Checking the results

You don't need to stay on the page while the import runs. Every import is listed under Import history on the tab you imported from.

  1. Go to Admin panel > General > Imports and open the tab you imported from.

  2. Under Import history, click the file name of the import to see how many rows were added, merged, skipped or had errors.

  3. If any rows were skipped or had errors, click Download file to get those rows, each with the reason it wasn't imported.

If you leave after uploading your file but before clicking Start import, the import stays in the history as a draft. Click its file name to continue from the step you left. Deleting an import from the history doesn't delete the leads, deals, contacts or products it added.
